There is an immediate opportunity within the Wood Automotive Group for a Customer Service Representative (CSR) to join our team at the new Okotoks Ford Lincoln!

The CSR duties include: promptly & courteously serving all service customers, greeting incoming customers, answering phones and generating work orders. Additional responsibilities are checking vehicle for applicable warranty, and phoning customers with proper estimates for both required and recommended work. Ongoing communication with customers to notify them of vehicle status, confirm satisfaction with repair, and resolve complaints as required is also essential.

Excellent computer, phone and customer service skills required.

This role requires schedule flexibility including a rotating Saturday shift.

The successful candidate for this busy switchboard role is an outgoing, friendly, customer-oriented, reliable, and organized individual. Flexibility is required, including availability to work on Saturdays.

The Wood Automotive Group is currently taking applications for the Warranty Supervisor opening. This position will be responsible for ensuring the successful day to day operation of the Warranty Department, as well as assisting in some support functions for the Service Department of Woodridge Ford Lincoln.

Primary responsibilities include:

Supervise Warranty Administrators including regular review of open claims, and providing guidance on course of action as required

Assist Dealership staff with warranty procedure questions

Assist A/R & A/P personnel in obtaining information/action etc. needed to collect/pay RO’s and/or purchase invoices

Monitor warranty receivables to ensure claims are paid in a timely manner and work with Service Managers taking necessary action to maintain a current schedule

Review, analyze and distribute Ford Warranty documentation as required including month end warranty reports, Rental usage reports, and Warranty/Service bulletins

Post and reconcile warranty payments. Ensure necessary actions for appeals, labor adjustments, short payments and chargebacks

Prepare Journal entries for warranty adjustments

Requesting/coding/entering rental invoices for claiming and internal purposes, and tracking rental activity (including Lincoln Loyalty)

Work with various stakeholders to ensure all necessary warranty claiming information is received (Service Managers, Shop Foremen, Service Advisors, external vendors)

Prepare/post Ford monthly parts account activity/ Reviewed by Controller.

Woodridge Ford Service Support including:

Reporting on open work orders

Preparing internal and external invoices to be sent to accounting

Prepare DAAWA / AWA / Lincoln Loyalty requests as needed

Review Cash Clearing report

Payroll support for Service Staff

The ideal candidate will have 3-5 years’ Automotive experience accompanied with great attention to detail and strong relationship building skills. Prior supervisory experience is considered an asset.

The Parts Advisor is responsible for selling parts to available customers, over the counter, through the shop, or on the phone.

Additional duties will include:

Assist walk-in customers in selecting required parts, suggest companion requirements, offer specials, and ensure that the customer is exposed to the full product line.

If the part is not in stock, determine availability and submit an emergency order if requested by the customer or tech.

Answer phone calls, providing price quotes and other information.

Set up orders for daily shipment, delivery, or pick-up.

The Journeyman Prepper is responsible for helping the Paint Technicians prepare vehicles for paint and other various duties.

Responsibilities:

Prep surfaces for paint technicians

Assisting painter with spot repairs

Check preparation quality prior to painting, liaise with refinishing technician and advise supervisor if necessary

Advise supervisor of scheduled maintenance and emergency maintenance of paint booths and equipment

Minor paint repairs
